Definitions:
For these Terms and Conditions, the term “Stay” refers to any accommodation services booked through One Root Journey. The term “Journey” refers to any tour services booked through One Root Journey, including single- and multi-day itineraries.
How to Make a Booking with One Root Journey:
To book a Stay or Journey with One Root Journey, fill out the 'Contact Us' or 'Book a Journey' form on our website, or email us at support@onerootjourney.com. Our team will contact you to confirm your booking and help arrange your travel plans.
How to Confirm Your Booking:

For a Stay, a confirmation email must be received from One Root Journey.

For a Journey, a 50% deposit of the total booking cost is required to confirm.

Final payment is due before the journey commences or upon arrival.
Payment Methods:
Payments can be made by:

Bank wire transfer (payer responsible for transfer charges)

VISA/Mastercard payment (no processing fees charged)
Booking Cancellation & Cancellation Charges:
Written notice is required for any cancellations, sent to support@onerootjourney.com
Deposits are partially refundable depending on the notice period:
- A 20% non-refundable fee applies if canceled more than 90 days before the trip start.
- No refunds for cancellations made less than 30 days before departure.
Refund Policy:
No partial refunds for unused accommodations, unfinished meals, or missed activities. No credits issued for unused services.
Guest Responsibilities:

As a guest on a One Root Journey tour, you hold certain responsibilities toward your hosts, guides, and fellow travelers. You are expected to understand the details and conditions of your selected itinerary and ensure it aligns with your physical abilities, interests, and travel expectations. Additionally, we ask that you show respect for the customs, traditions, and cultural values of Mongolia throughout your journey.

If a guest’s behavior becomes disruptive, disrespectful, or poses a risk to themselves or others, One Root Journey reserves the right to remove the guest from the tour. In such cases, the guest will be fully responsible for:

All costs incurred up to the point of removal

Any additional expenses related to transport from a rural location

Any cancellation penalties charged by local service providers or contractors

Guests are also responsible for the payment of any extra services not included in the agreed-upon itinerary, whether requested before or during the tour (e.g., additional activities, personal purchases, detours, or service upgrades).

We highly recommend that all guests obtain comprehensive travel insurance prior to the start of the tour, covering medical care, accidents, emergencies, and evacuations. The insurance must be appropriate for the risks, location, and nature of the activities included in the tour. A copy of the insurance policy may be requested by One Root Journey before departure. Please note that One Root Journey is not responsible for your choice of insurance provider or for any expenses not covered by your policy.
One Root Journey Responsibilities:

The responsibilities of One Root Journey LLC are strictly limited. As a tour operator, One Root Journey organizes, promotes, and sells tour programs consisting of various travel services including tour guiding, ground transportation, domestic flights, excursions, and accommodations. These services are often purchased or reserved from independent third-party suppliers. These suppliers are not agents or employees of One Root Journey. When assisting with domestic air travel, One Root Journey acts solely as an agent for the client, not for the airline.

One Root Journey is responsible only for the willful acts or omissions of its contracted providers for overland services. However, it is not liable for any injury, loss, or damage to life, health (including mental health), belongings, or travel documents resulting from the client's own negligence, personal decisions, or time spent outside the planned itinerary.

Once full payment is received, One Root Journey is responsible for any increases in costs related to currency fluctuations, fuel surcharges, taxes, or national park fees. However, prior to receiving your booking deposit, we reserve the right to correct pricing errors or adjust prices due to external factors such as airfare changes or government-mandated fees.

One Root Journey cannot be held responsible for additional expenses or disruptions caused by events outside of our control.

including but not limited to political unrest, terrorism, war, natural disasters (e.g., floods, fires, snowstorms, dust storms, animal encounters), infectious disease outbreaks, cancellations or delays by airlines or rail companies, or decisions made by governmental bodies.

Any services or excursions arranged independently by guests with local drivers, guides, or other third parties outside of the confirmed itinerary are not the responsibility of One Root Journey. We do not cover or assume liability for additional costs or consequences related to such arrangements (e.g., extra destinations, shopping, or personal activities).

While One Root Journey is not liable for external events beyond our control, we commit to supporting our guests to the best of our ability in navigating unforeseen challenges, including assisting with recovery or claims where applicable. Your safety, comfort, and satisfaction are our highest priorities.

Lastly, One Root Journey reserves the right to adjust the sequence or content of planned itineraries due to weather, safety considerations, or travel logistics.
Special Requests:
Guests with special requests (dietary needs, private services) must notify us at least 30 days before departure. We will do our best to accommodate, but we cannot guarantee all special requests.
Meals:
For tours that include meals as part of the package, we are happy to accommodate certain dietary restrictions or preferences where possible. Please contact us to discuss your needs in advance. Guests are required to notify One Root Journey of any dietary requests at least 30 days prior to the start of the tour to ensure proper arrangements can be made.
Single Supplement:
A single supplement (private accommodation) for hotel rooms or traditional ger (yurt) stays at tourist camps in the countryside is available upon request and subject to additional charges. If you wish to book a single room, please inform us at the time of booking, as availability may be limited.
Tips and Taxes:
Tipping in Mongolia is not commonly expected but is occasionally practiced. Tips for drivers, guides, and support staff are not included in the tour price and are left entirely at your discretion.
At One Root Journey, we ensure that all our staff and local partners are paid fair and competitive rates. If you choose to give a tip, we kindly ask you to do so thoughtfully and in a way that respects local customs. Please feel free to ask our team if you’re unsure about appropriate tipping practices.
All service and government taxes in Mongolia are already included in the cost of your tour unless otherwise stated.
